Time Start: 12:10 pm Time End: 12:40 pm Monique: We got an email on February 9th from Elka and she;s trying to get AMSA to reimburse her for books she bought over the summer for the MCAT. She said she bought the books to donate them. Can she get reimbursed? Josh: It’s not a donation. Monique: Yeah it would have made more sense if AMSA had purchased the books. Peace: She came in the office once and the books are part of the cost of the course and I told her if she has a receipt she could get reimbursed but the receipt is just a lump sum of the cost of the course so the controller’s office won’t accept the form. Monique: So she can’t get reimbursed? Peace: No. Vince: Can’t she just write up her own receipt since she’s selling it to the club? Monique: She said she doesn’t have receipts but she knows how much the books are online. Peace: Something similar happened with lego club where they bought equipment from a graduating member. I can double check with the controller’s office to see if that’s an option and then email her back. Monique: Natalia said we need to talk about punishments. Josh: If you submit your budget and the mid year report but you never meet with us or contact us we should go through your whole budget and allocate as normal and then deduct 5% afterwards because there has to be a repercussion. Not doing the mid year should be more harsh like 10% and then late budgets should be 1% off a day. Monique: I don’t like direct deductions as much as not getting more than what you got last year. I’m a fan of 5% for missing a meeting. I want to do that off of what they receive last year so they can’t get any more money than what they received last year. Peace: So Monique, hypothetically if someone didn’t meet with us and didn’t submit a mid year and submitted a budget late should that be 30% or 15% deducted? Monique: 15%. Vince: So if I forgot mid year and didn’t meet with you is it 15%? Monique: Not it’d be 10%. They don’t compound. Hassan: We could do they can’t get more than what they got last year without a deduction for missing meeting with us. 5% decrease for not doing mid year and 10% for late budget. Peace: Also email the orgs you’re in charge of and give them a heads up that the next two weeks are the last for them to meet with you. Josh: How hard is our deadline for taking late budgets? Monique: If someone submits a budget super late the next committee has to look it over. We should set a hard deadline that after a certain date budgets won’t be looked at by our committee. Vince: Two weeks? Josh: Yeah after March 19th our committee won’t look at the budget. Peace: I agree with that and then add a penalty on top of that. And we would leave on the budget whatever percent to take off. Josh: And then that committee could choose to ignore that. Peace: Yeah that’s true. Vince: It should be up to the new committee to make whatever deduction they want. Monique: I think missing a mid year report penalty should be harsher. Hassan: We’re destroying the aspirations of people who are asking for more money this year. Monique: That’s the incentive for them to come. Vince: I don’t have faith. Monique: I’m down for your don’t get more money if you don’t meet with us. You can only get 90% of your last budget if you don’t submit mid year and then you can only get 85% of your last budget if you submit your budget late and if you submit it two weeks after the deadline, the next committee looks at it.
