FAQs

Someone just told me I'm the treasurer of my club now, but I have no idea what to do now! Help!
Don't worry! First, go to treasurer training; this should help with most of your questions. Treasurer training is held at the beginning of every semester and is mandatory for all clubs wishing to use funds and to be considered an official treasurer. Then, ask your club leaders if you guys have a budget, and ask them to list you in GOberlin/Presence as the Treasurer of your club. Start from there!
What is Presence? How can I check if my club is active on there?
Presence is Oberlin's software, which you can access through Oberview, that lists all active student organizations (there's more than just student orgs on there, but that is one of its main functions). If you type your club's name into the search bar, does it pop up? If not, it's more than likely your club is considered inactive, or has never been put into Presence. Email student involvement to ask if your club is active, or get someone with administrative access in your club (the liaison and treasurer should both have administrative access) to check. 
SFC just approved my pcard request, what now?
Wait for an email from Cristal Ramos ([email protected]), who will tell you when you can pick up your pcard.
Can I buy merch for my club members to take home? What about club uniforms?
No, you cannot buy merch for your club. Personal, take-home items must be bought with personal money. Club uniforms that stay in club inventory can be purchased with SFC money.
I just had an RFP approval sent to Accounts Payable. When can my payee expect to get paid?
Accounts Payable asks for up to 15 business days to send out payment for RFPs, starting after the day that they've fully collected all the information that they need to pay the payee. So, approximately two weeks.
How do tax exempt purchases work for web purchases? Will the website just know not to charge tax?
If you are using a pcard, yes. The website will not charge taxes to the card. Sometimes a website will state that tax charges are being added, but will remove them a few days after the purchase is made. Disregard taxes if you are using a pcard.
